This Privacy Policy describes how RunMyBooks ("we," "us," or "our"), operated by Elemental Ventures LLC, a Wyoming Limited Liability Company, collects, uses, and protects your personal information when you use our website at runmybooks.org and our application at app.runmybooks.org (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

We collect the following types of information:

Account information: Your first name, last name, email address, business name, and business type when you create an account.
Financial data: Bank account transaction data accessed through Plaid, including transaction amounts, merchant names, dates, and descriptions. This data is used solely to provide bookkeeping services. We access this data in read-only mode and do not initiate any payments or transfers.
Payment information: Payment processing is handled by Stripe. We do not store your credit card or payment details on our servers.
Usage data: Information about how you interact with the Service, including pages visited and features used.
Communications: Emails you send us and emails we send you, including invoices and product updates.

2. How We Use Your Information

We use the information we collect to:

Provide, operate, and improve the Service
Automatically categorize your financial transactions using AI
Generate financial reports and exports for your use
Send you invoices, receipts, and account-related emails
Send product updates and announcements (you may opt out at any time)
Respond to your support requests
Comply with legal obligations

3. Financial Data and Plaid

RunMyBooks uses Plaid Technologies, Inc. ("Plaid") to connect to your bank accounts and retrieve transaction data. When you connect your bank account, you are also agreeing to Plaid's Privacy Policy, available at plaid.com/legal.

We access your financial data in read-only mode. We do not move money, initiate payments, or share your financial data with third parties for advertising or marketing purposes. Financial data is used solely to provide bookkeeping and reporting features within the Service.

4. How We Share Your Information

We do not sell, trade, or rent your personal information to third parties. We may share your information with:

Service providers: Supabase (database and authentication), Vercel (hosting), Plaid (bank connections), Stripe (payments), Resend (email delivery), and Anthropic (AI transaction categorization). These providers are bound by confidentiality agreements and only process data as needed to provide their services.
Legal requirements: If required by law, court order, or government authority.
Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. Data Security

We take reasonable measures to protect your information:

All data transmitted between your browser and our servers is encrypted using TLS 1.2 or higher
All data stored in our database is encrypted at rest by Supabase
Access to your data is restricted using row-level security and authentication tokens
Bank credentials are never stored on our servers — Plaid handles all bank authentication

No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. If you close your account, you may request deletion of your data by contacting us at hello@runmybooks.org. We will delete your data within 30 days of your request, unless retention is required by law.

7. Your Rights (California Residents — CCPA/CPRA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA):

Right to know: You can request information about the personal data we collect, use, and share.
Right to delete: You can request deletion of your personal data, subject to certain exceptions.
Right to correct: You can request correction of inaccurate personal data.
Right to opt out: We do not sell or share your personal data for cross-context behavioral advertising.

8. Cookies and Tracking

We use essential cookies required for the Service to function. We also use the Meta Pixel on our marketing website (runmybooks.org) for analytics and advertising purposes. You can opt out of Meta's data collection by visiting Facebook's Privacy Settings.

9. Email Communications

We use Mailchimp to send marketing emails to users who have opted in on our website. We use Resend to send transactional emails (such as invoices and account notifications). You can unsubscribe from marketing emails at any time by clicking the unsubscribe link in any email.

10. Children's Privacy

The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately at hello@runmybooks.org.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Service. Your continued use of the Service after changes become effective constitutes your acceptance of the updated policy.
